Tenant files can hold some of the most sensitive information a person has. This page explains — in plain language first, then in detail — what RTO Pro does with your information today, and the rules that will govern features we have not built yet.
Everything in this box is true today, 2026-07-15.
Some sections below describe planned features — accounts, encrypted storage, professional sharing, and AI document help. They do not exist yet. We describe them now so you can see the commitments that will govern them before they launch. Anything planned is clearly labelled.
In short: Today, RTO Pro's servers collect no personal information. If you email us, we receive what you send.
RTO Pro is currently a static website. It has no accounts, no sign-up forms that submit to a server, and no databases holding tenant information. When you visit, our hosting provider serves you pages — the same pages everyone else sees.
The one way we receive personal information today is if you choose to contact us. If you email hello@rtopro.ca or use the details on our contact page, we receive your email address and whatever you write. We use it only to respond to you.
Tools like the Repair Tracker, Timeline, Deadline Tracker, and Expense Tracker ask you to type in details about your situation. That information is saved by your own browser, on your own device, using a feature called local storage. It never travels to RTO Pro. We could not read it even if we wanted to — there is no connection that carries it to us.
In short: Today, no server uploads exist. Nothing you add to a tool is transmitted to RTO Pro.
RTO Pro does not currently operate any document-upload service. There is no server that receives files from this website. Where a tool lets you record details about a document — for example, noting that you received a notice on a certain date — that record stays in your browser on your device, like all other tool entries.
When account-based document storage launches in the future, this policy will be updated first, and the commitments in the storage section below will apply.
In short: Housing disputes involve deeply personal records, so our design rule is to handle as little of your information as possible.
A tenant's case file is not ordinary data. Preparing for a housing dispute can involve:
Because of this, RTO Pro follows a design rule called data minimization: we collect nothing we do not need, and today that means we collect nothing at all through the platform's tools. Any future feature that does handle your information must justify each piece of data it asks for, and this policy will say exactly what is collected and why.
In short: Today the only reason we receive information is to answer you. Future collection will have stated purposes, and only those purposes.
Today, the only personal information we receive is correspondence you send us, and the only reason we use it is to respond to you.
If future features collect information, each purpose will be stated plainly before you provide anything. The purposes we anticipate are:
We will not sell sensitive tenant case information. We will not use your case records for advertising.
In short: Today: on your device, in your browser. Planned account storage will add encryption, access controls, and consent-based sharing — described below and clearly labelled.
All tool entries live in your browser's local storage on the device you used. They do not sync between devices, and they are not backed up by RTO Pro, because RTO Pro never receives them. If you use a shared or public computer, anyone with access to that browser profile could see your entries — clear them when you are done, and prefer a personal device for anything sensitive.
When accounts and server-side storage launch, these commitments will govern them. They describe a future service, not the current one:

In short: Nothing about your case leaves your device without your action, and future features will ask before collecting anything.
Today, consent is structural: because the platform does not transmit your tool entries, there is nothing to consent to — the information simply stays with you.
For planned features, consent will be specific and informed. Before an account feature collects, stores, or shares anything, it will tell you what is collected, why, where it goes, and how to withdraw. Sharing with a professional will always require your explicit action, and you will be able to revoke access. Consent for one purpose will not be stretched to cover another.
In short: Today, you control retention entirely — your entries exist only in your browser, and clearing browser data deletes them.
RTO Pro retains none of your tool data, because it never receives any. Retention is fully in your hands:
Before you clear anything: if your entries matter to your case, export them or photograph the screen first. Deleted local-storage data usually cannot be recovered — by you or by us.
When account storage launches Planned, you will be able to delete your stored records, and this policy will state retention periods and what deletion covers before that feature goes live.
In short: No analytics currently run on RTO Pro. If we add any, they will be privacy-conscious and will never receive your case details.
RTO Pro currently has no analytics service wired into the site. We do not measure your visits, and nothing you type into a tool is observed or reported.
If we add analytics in the future, they will be limited to understanding which pages are useful, and they will be privacy-conscious by design. Analytics will never receive:

In short: No AI processes your information today. Planned AI document help will be opt-in, clearly identified, and never used to train models without your separate, explicit consent.
Today, no artificial-intelligence service processes anything you enter on RTO Pro. Tools like the Document Checker currently provide guidance and structure — they do not send your documents anywhere for automated analysis, because no upload or processing service exists yet.
We plan to offer AI-assisted document extraction — for example, helping identify the key dates and stated reasons on a notice. When it launches Planned, these rules will apply:
This policy will name any AI providers involved and describe data flows before the feature launches.
In short: Visiting RTO Pro does not send requests from your browser to font networks or tracking services.
RTO Pro is built to avoid quietly handing your visit to other companies:
Links to official resources — such as ontario.ca, tribunalsontario.ca, and stepstojustice.ca — take you to those organizations' sites, which have their own privacy practices.
In short: Your entries are yours. Tools aim to let you take your information with you in a usable form.
Because your tool entries live on your device, you already hold them — no request to us is needed. Tools provide ways to get your information out in a usable, text-based form, such as copying or exporting your records, and we treat easy export as a design requirement: your case file should never be trapped in RTO Pro.
When account storage launches Planned, export of your complete stored file will be available, and deleting your account will not require giving up your records — export first, then delete.
In short: Today there is no server-held tenant data to breach. Planned services will carry a clear notification commitment.
Because RTO Pro holds no tenant case data on servers today, there is currently no server-side store of your information that could be breached. The main risk today is the device in your hands: protect your own device with a passcode, and clear tool data from shared computers.
For planned account services Planned, we commit to this before launch: if a security incident affects your stored information, we will investigate, notify affected users promptly with plain-language details of what happened and what was involved, report to authorities where the law requires it, and explain the steps we are taking. This commitment will be expanded with specifics in the updated policy that accompanies account features.

The "planned" labels on this page exist so that today's promises are never confused with today's reality.
